Running and Downloading Reports

Reports in Regpack are useful for various purposes, such as generating rosters for registered users, sharing data with external stakeholders, or conducting internal reviews. Creating a customized roster report allows you to extract relevant user information efficiently.

Creating a Customized Roster Report

Step 1: Select Users

• Select all users or apply filters to narrow down your selection.
• If working in a group system, choose the level for the report:
  • Head Unit Level Only
  • Sub Unit Level Only
  • Both
• If you select a report that does not apply to the chosen level, the system will prompt you for confirmation.
• In an individual system, reports will process based on the selected users.

Step 2: Choose and Run a Report

• Click the Reports button to see a list of reports.
• Click View All Reports if you need to search for a specific report.
• Select the report you want to generate.
• The system will display your results, including:
  • Tabbed sections (for group systems).
  • Clickable user names to access and edit profiles.
  • Sortable information to organize the report as needed.
  • Statistical overview for data insights.

Step 3: Download or Export Your Report

• Click Download and select a format:
  • CSV: Each row represents a user. Ideal for spreadsheets.
  • PDF: Displays user information in a paged format.
• Exporting reports allows further data manipulation in spreadsheet programs.

Special Notes on CSV Exports

• CSV files are compatible with Open Office and Google Apps.
• Excel for Mac does not natively support UTF-8 encoding. To properly open CSV files in Excel for Mac:
  • Option 1: Use Google Apps
    1. Upload the CSV file to Google Drive.
    2. Go to File → Download As.
    3. Choose .xls or .xlsx format for Excel compatibility.
  • Option 2: Adjust Excel Settings
    1. Open Excel and go to File → Options.
    2. Navigate to Advanced and click Web Options under the General tab.
    3. In the Encoding tab, select UTF-8 from the drop-down menu.
    4. Click OK, restart Excel, and open your file.
